A repeat customer in Buffalo, NY called me sheepishly one afternoon with what he said would be a difficult request. The request? He wanted to see if I could provide a two hour improv workshop at an off site location in Buffalo that I found and also provide catering.
Of course I can do that!
it was easy enough. First I reached out to venues I've worked at previously. Though I typically do not handle venue management I do try to maintain positive relationships in every venue I've worked at. I collected prices, options, availability and pros & cons and added them to a proposal template.
Then I researched caterers in the area. Basic catering would run you ten to fifteen dollars a person. What I would call middle-of-the-road standard catering was fifteen to twenty-five dollars a person. Premiere catering was available between twenty five to forty dollars. Or more, if money is no object. I put all of the catering options and prices in the proposal template.
I dedicated a page of the proposal in order to describe the curriculum that I would teach during the Improv workshop. I positioned this up front in the proposal, because while venue and menu concerns are important, we shouldn't forget that the main entree is the improv workshop.
I sent it to my client for their review with three pricing models: One inexpensive option, One in the middle and One with a price that was a little out of reach. My client chose the one in the middle, as people often do.
After the event was over, we had a good laugh about my contact's hesitance regarding catering and venue requests. It is my absolute pleasure to do that sort of work for a client.
