A Client Story
At the 11th hour, a Houston based energy trading company reached out to me to see if they could arrange for an improv-based team building workshop in just two weeks time. I take pride and always saying yes to workshops and shows regardless of how little notice I'm giving and I've actually arranged events similar to the one we are discussing in less than 48 hours.
(I haven't had a chance yet to arrange a worksop with less than 24 hours yet, as no client has made that request. I am eager for the challenge though!)
I could tell that the client was a little sheepish asking about an event with such short notice so I set them at ease. A great advantage The Radical Agreement Project (RA) enjoys compared to most improv endeavors is our very extensive network of excellent improv instructors. This is thanks to the long careers in improv many of the people at RA have had.
When I said we could easily arrange for their event and that there would be no additional fee, the client was happy. We arranged for the event and got ready to execute it. Then with just 5 days to go the client reached out to ask if 20 more attendees could fit into the original workshop which had 20 attendees also.
No no no.
That's too many people for just one workshop. Ideally you want the teacher to attendee ration to be no higher than 1:16. 20 is still workable, but if you try to run a 40 person workshop with just one instructor, well you're cruising for a bruising.
Instead I found a second instructor to jump into the event and the client had a second conference room so we were set!
It's important when putting together an L&D event that you don't allow cost concerns to tempt you into bad quality decisions. The most expensive mistake that could have been made would have been for me to say it was fine for 40 participants to work with just one instructor, that would have wasted the entire invest in the event.
